ECSG PRIVACY POLICY

 

The European Cards Stakeholders Group AISBL (“ECSG”) takes the protection of your personal data seriously. We use our best efforts to ensure that we process your personal data in accordance with the applicable data protection laws, including the General Data Protection Regulation (EU) 2016/679 (GDPR).

 

This ECSG privacy policy explains what personal data we collect from you, and how and why we collect, store, use and share your personal data. It also explains your rights in relation to your personal data and how to contact us or relevant supervisory authorities in the event you have a complaint.

 

The European Cards Stakeholders Group AISBL, located at Rue Abbé Cuypers 3 - 1040 Brussels, is the data controller responsible for the processing of personal data described in this privacy policy.

PERSONAL DATA WE MAY PROCESS AND FOR WHICH PURPOSES

  • We collect information about you when your organisation becomes a member of the ECSG, including your name, full name, email address, phone number, organisation, role in an organization, data related to your activities, including how you interact with us via correspondence or attend our meetings, or any other data that you provide to us voluntarily.

  • You may choose to submit personal data directly to us, including in response to events, meetings, marketing or other communications related to the work of the ECSG including the exchange of business cards. The information you provide may include your contact details (such as name, postal or e-mail address, and phone number), business contact information (such as job title, department and name of organization) and any other personal data you provide to us, including your photo and biography.

  • We may obtain your personal data via other business interactions, such as when you contact us or we contact you to pursue our mission and  business objectives, when we receive your business card or your business details from you directly, from third parties, or from publically available databases.

  • If you contact us by email, postal mail, or other form of communication, we may retain such correspondence, including your name, contact details, date and time of the query and our responses to it, the contact details you used to contact us, as well as the content of the communication.

  • We may also obtain your personal data, including your name, contact details, your position, and your organisation’s name when your organisation provides goods and services to us, such as IT services, event management, catering, travel services, and similar.

  • We may collect your personal data from publicly available resources, including the websites of the relevant public authorities and institutions, to contact you with queries and issues relating to the operation of the ECSG. 

  • Our business contacts (e.g., your colleagues) may provide us with your contact information in order to establish a connection between you and us. We may use your details to contact you about the activities, meetings and events of the ECSG and to organise such activities, meetings and events. 

  • If you provide us with any personal data relating to another individual, you should make sure that the sharing with us and our further use is in line with applicable laws, so for example you should duly inform that individual on the processing of her/his personal data  and obtain her/his consent, as may be necessary under applicable laws.

 

HOW WE MAY USE PERSONAL INFORMATION WE COLLECT

We will only process your personal data when we have a valid legal ground for the processing, including if:

  • We need your personal data to provide you with products and services or to respond to your queries;

  • We have a legal obligation to process your personal data, such as compliance with the requirements of Belgian law;

  • We, have a legitimate interests to process your personal data, such as administering membership, maintaining business relationships, maintaining regular contacts, providing you with information (including policy updates, newsletters, and other such information), managing your participation in meetings and working groups;

  • Pursue our mission and communicate with you about projects, events or meetings organized by ECSG and respond to your queries;

  • Manage our business relationships including administering membership, events participation and management;

  • Provide, evaluate and improve the website;

  • Comply with applicable legal requirements, industry standards and our policies;

  • Perform accounting, auditing, billing, reconciliation and collection activities;

  • To establish, exercise and defend legal rights.

  • Strictly necessary cookies. These cookies are essential for our website to function properly. They enable you to browse on our website and use its features;

  • WIX analytics (visitors' country/city, device,  IP, conversions);

  • Google analytics (operating system, web browser, pages visited, location of the user, device used, time of visit, pages visited, and time spent on each page of the webpages, referring site details (such as the URL a user came through to arrive), network location and IP address. With some custom implementation, Google Analytics can also be used to collect additional data such as document downloads, clicks on links leading to external websites, errors when users fill out forms, etc). 

We use the cookies for the following purposes:

  • To monitor interest in the associations' activity by various sectors and implement projects according to the audience interest;

  • Analyse the use of the website, for example which pages are used more often or which pages and why issue error messages, in order to improve browsing experience;

  • Obtain information on how the site was used, particularly on the frequency of visiting the site, most frequently consulted topics, average time of visit, etc.

 

HOW WE SHARE YOUR PERSONAL DATA 

We do not share or otherwise disclose your personal data, except as described in this Privacy Policy or otherwise disclosed to you at the time the data is collected.

We may share your personal data with our service providers, including 3H Partners , who perform services on our behalf and in relation to the purposes described in this Privacy Policy. We authorize these service providers to use or disclose personal data only as necessary to perform those services on our behalf or comply with legal requirements.

We share your personal data with ECSG members and events participants in the context of ECSG activities and events, including for example, General Assembly, board meetings, meetings of the expert teams and task force groups and other such similar meetings.

We may disclose information about you (i) if we are required to do so by law or legal process, (ii) when we believe disclosure is necessary to prevent harm or financial loss, or (iii) in connection with an investigation of suspected or actual fraudulent or illegal activity.

 

LINKS TO OTHER WEBSITES

The ECSG website includes links to third-party websites, including the websites of our members. These websites are not managed by ECSG. Any personal data you provide on such third-party websites is subject to their privacy policies. We are not responsible for the practices and policies of such third-party websites. HOW LONG WE KEEP YOUR PERSONAL DATA

We keep your personal data for as long as it is necessary to provide membership services, to pursue our mission, to maintain the relationship with you, or to perform a contract. We will take measures to delete your personal data or keep it in a form that does not permit identifying you when this information is no longer necessary for the purposes for which we process it, unless we are required by law to keep this information for a longer period.

When determining the retention period, we take into account various criteria, such as:

  • the nature and length of our relationship with you and the services provided to you;

  • the need to respond to any questions, complaints or claims made by you or on your behalf;

  • mandatory retention periods provided by law and the statute of limitations.

You have the right to:

  • Request access to and receive information about personal data we maintain about you; update or correct your personal data if it is inaccurate or incomplete,  restrict or object to the processing of your personal data; have the information anonymized or deleted, as appropriate; and easily transfer your personal data to another company (data portability);

  • Subject to certain exceptions, you may request us to delete your personal data if they are no longer necessary, if you withdraw your consent, or if you object to their processing, and there are no overriding reasons for us processing your personal data;

  • Withdraw any consent you previously provided to us regarding the processing of your personal data, at any time and free of charge (we will apply your preferences going forward and this will not affect the lawfulness of the processing before your consent withdrawal);

  • You may object to the processing of our personal data for direct marketing purposes;

  • Lodge a complaint with a supervisory authority, including in your country of residence, place of work or where an incident took place.
